We are currently seeking a dedicated Fleet & Accounting Manager to oversee our fleet operations and manage the financial aspects related to vehicle and equipment maintenance, insurance, and compliance.

Position Overview

We are looking for a detail-oriented Fleet & Accounting Manager to join our team. This dual-role position will involve overseeing the day-to-day operations of our fleet of vehicles and heavy equipment while managing related accounting tasks, including budgets, invoicing, insurance, and compliance paperwork. The ideal candidate will be organized, proactive, and able to manage both the financial and operational aspects of our fleet.

Key ResponsibilitiesFleet Management

  • Oversee the daily operations and maintenance of the company’s fleet of vehicles and heavy equipment, ensuring timely repairs, preventive maintenance, and overall safety compliance.
  • Coordinate with service providers and mechanics to schedule repairs, inspections, and routine maintenance.
  • Track fleet utilization, performance, and equipment life cycles to optimize efficiency and minimize downtime.
  • Maintain up-to-date records for each vehicle and piece of equipment, including service history, warranties, and licensing.
  • Manage fuel usage, ensuring proper tracking and cost control.
  • Ensure all vehicles and equipment meet local, state, and federal regulations, including inspections, registration, and safety requirements.

Accounting & Insurance Management

  • Manage the accounting functions related to fleet operations, including budgeting, forecasting, and cost analysis for vehicle maintenance and equipment usage.
  • Process invoices related to fleet maintenance, repairs, insurance, and fuel.
  • Monitor and manage insurance policies for vehicles and heavy equipment, ensuring adequate coverage and timely renewals.
  • Handle all insurance paperwork, including claims, reporting accidents, and tracking vehicle damage or loss.
  • Reconcile fleet-related financial records and ensure accurate documentation for internal reporting and audits.
  • Track and report on fleet costs, identifying areas for cost savings and efficiency improvements.
  • Assist in month-end and year-end financial reporting related to fleet operations and equipment depreciation.

Requirements

  • Proven experience in fleet management, accounting, or a similar role, preferably within a company that uses heavy equipment or commercial vehicles.
  • Strong knowledge of accounting principles, financial reporting, and budget management.
  • Experience with fleet management software and tools.
  • Excellent organizational skills, with the ability to manage multiple priorities and deadlines.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Knowledge of insurance policies, claims processing, and fleet-related compliance.
  • Strong communication skills, with the ability to work effectively with vendors, internal teams, and management.
  • Proficient in Microsoft Excel and accounting software (QuickBooks, etc.).
  • A valid driver’s license and a clean driving record.
  • High school diploma or equivalent; Associate's or Bachelor's degree in Accounting, Business, or related field preferred.

Preferred Qualifications

  • Certification or experience in fleet management.
  • Experience working with a construction company.
  • Familiarity with vehicle and equipment leasing agreements and asset management.
  • Ability to analyze cost data and identify trends for financial optimization.
